These Terms & Conditions (“Terms”) govern your use of ascottparc.com (the “Website”) and, where applicable, your purchase or use of services provided by Ascott Parc Event Centre ( “we,” “us,” “our”), including event space rentals, event-related services, and catering services (collectively, the “Services”).
By accessing the Website, submitting an inquiry, booking a tour/consultation, or entering into a service agreement with us, you agree to these Terms.

2) Scope of Services
Ascott Parc Event Centre provides event venue spaces and related services for weddings, corporate events, and social events, including indoor halls, outdoor ceremony/photo settings, event coordination support, and catering options (as available and selected).
Service details, inclusions, minimums, and pricing may vary by date, space, package, and event type, and are confirmed only in a written quote and/or signed agreement.
3) Website Use
You agree not to misuse the Website, including by:
- attempting unauthorized access to systems or data,
- uploading malicious code,
- scraping or copying content at scale, or
- using the Website in a way that disrupts functionality.
We may change, suspend, or remove Website features at any time without notice.
4) Inquiries, Quotes, and Booking Requests
Submitting a form, sending an email, or requesting a consultation/tour does not create a binding booking.
A booking is confirmed only when:
- We accept your event date/time in writing,
- a written agreement (or booking confirmation) is executed/accepted, and
- required deposits/initial payments are received (if applicable).
5) Deposits, Payments, and Taxes
- Deposits and payment schedules (including due dates) are outlined in your agreement/invoice.
- Unless stated otherwise, all amounts are in Canadian dollars (CAD) and may be subject to applicable taxes.
- Late payments may result in service delays, booking cancellations, or loss of the date, as permitted by law and your agreement.
6) Guest Counts and Event Minimums
- Your agreement may require minimum guest counts, minimum spend, or guaranteed numbers.
- Final guest counts and menu selections (if applicable) must be provided by the deadline stated in your agreement.
- You may be charged based on the guaranteed number or minimums, even if actual attendance is lower.
7) Catering and Food & Beverage
If catering is included or booked through Ascott Parc Event Centre:
- Menus, tastings (if offered), dietary requests, service style, and timing are confirmed in writing.
- We will make reasonable efforts to accommodate dietary restrictions and allergies when communicated in advance, but we cannot guarantee an allergen-free environment.
- Outside food/beverage may be restricted and, where permitted, may require written approval and/or fees, subject to your agreement.
8) Alcohol Service (If Applicable)
Where alcohol is served:
- All alcohol service must comply with applicable Ontario laws and licensing requirements.
- You (and/or your designated organizer) are responsible for ensuring your event follows all legal requirements and venue rules.
- We may refuse or stop alcohol service where safety, compliance, or conduct concerns arise.
9) Event Timing, Access, and Overtime
Event start/end times, vendor access times, setup/teardown windows, and any overtime rates are defined in your agreement.
- Early access, extended hours, or same-day changes may not be available and may incur additional charges.
- You are responsible for ensuring your vendors and guests follow timing and access rules.
10) Vendors, Décor, Setup, and Restrictions
- Vendors (photography, décor, entertainment, planning, etc.) must follow our on-site rules and safety requirements.
- You are responsible for your vendors’ conduct, timing, and compliance.
- Certain items may be restricted for safety and property protection (for example: open flames, confetti/glitter, fog effects, and adhesives), unless approved in writing.
11) Property Care, Damage, and Additional Charges
You are responsible for any loss, damage, excessive cleaning, or repairs caused by you, your guests, or your vendors.
- We may require a security deposit and/or charge the payment method on file for documented damages or extraordinary cleaning, as permitted by your agreement and applicable law.
12) Safety and Guest Conduct
For the comfort and safety of all:
- Disorderly, unsafe, illegal, or disruptive conduct is not permitted.
- We may end an event or remove individuals if necessary for safety, compliance, or property protection.
- In such cases, fees may remain payable as set out in your agreement and permitted by law.
13) Weather and Outdoor Areas
Outdoor areas (such as gardens/gazebo spaces) are subject to weather and seasonal conditions.
- Backup plans and weather contingencies should be discussed during planning.
- We do not guarantee weather conditions and are not responsible for weather-related impacts beyond our reasonable control.
14) Force Majeure (Events Beyond Reasonable Control)
We are not liable for failure or delay in performing Services due to events beyond reasonable control, including but not limited to severe weather, fire, flood, power outages, government orders, public health emergencies, labour disruptions, or other unforeseen events.
Where possible, we will work with you on reasonable rescheduling options, subject to availability, vendor constraints, and costs already incurred.
15) Cancellations, Rescheduling, and Refunds
Cancellation and rescheduling terms (including non-refundable deposits, timelines, and administrative fees) are set out in your signed agreement and will apply.
- If you cancel without a signed agreement in place, any paid reservation fees may be non-refundable if we have held inventory/time or incurred costs.
- If we must cancel due to reasons within our control, our liability is limited to the remedies stated in your agreement and/or refund of amounts paid for undelivered Services, as permitted by law.
16) Limitation of Liability
To the fullest extent permitted by law:
- Ascott Parc Event Centre is not liable for indirect, incidental, special, consequential, or punitive damages.
- Our total liability for claims relating to the Services will not exceed the amounts paid to us for the specific Services giving rise to the claim.
Nothing in these Terms limits liability where such limitation is not permitted under applicable law.
17) Personal Belongings and Third-Party Property
We are not responsible for loss, theft, or damage to personal items or third-party property brought onsite (including gifts, décor, equipment, or vehicles), except where required by law.
18) Photography, Video, and Marketing (Optional Clause)
Unless you opt out in writing, you grant Ascott Parc Event Centre permission to capture and use photographs/video from your event for marketing (website, social media, promotional materials), provided it is used respectfully.
If you want this removed entirely, add: “No event photography/videography may be used for marketing without written permission.”
19) Intellectual Property
All Website content (text, images, logos, design elements) is owned by or licensed to Ascott Parc Event Centre and may not be copied, modified, or redistributed without written permission.
20) Third-Party Links
The Website may contain links to third-party sites. We are not responsible for third-party content, policies, or practices.
21) Privacy
Personal information is handled according to our Privacy Policy.
22) Changes to These Terms
We may update these Terms at any time. The “Last updated” date will reflect changes. Continued use of the Website or Services after updates means you accept the revised Terms.
23) Governing Law
These Terms are governed by the laws of the Province of Ontario and the applicable federal laws of Canada. Any disputes will be brought in the courts located in Ontario, unless otherwise required by law.
